Behind the product

Built by an appraiser. Run like serious software.

AwardLettr is founder-led, which means decisions stay close to the work. It is also production software, with the cadence, security, and operational footing the work demands. Here is what is under the hood.

01Cadence

We ship every week.

AwardLettr is a working appraisal practice and a software platform at the same time. Friction we hit on Monday is usually shipped by Friday. Customer reports get read, prioritized, and most of the time shipped within the same week.

The list on the right is real. We publish on a lag so the work has time to settle in production before it goes on a marketing page.

  1. 01Apr 23

Starter workflow templates, one click to install.

Drop in templates for carrier onboarding, milestone follow-up, or scheduled status updates. The triggers, emails, and tasks wire up immediately on every appraisal that fits.

  2. 02Apr 23

    General-ledger CSV export.

Time, mileage, expenses, and invoices export as a single GL-ready CSV. Hand it to your accountant or drop it straight into QuickBooks or Xero.

  3. 03Apr 22

Reusable task templates and a redesigned My Work.

Build a task template once and apply it to any appraisal. Tasks group by due-date bucket with priority sort. The work that matters surfaces first.

  4. 04Apr 21

    Umpire brief panel access management.

Send the brief to the full panel in a single email. Delegates can be added with code-gated access. Every view appears on the access timeline.

  5. 05Apr 20

    Inspection attendance toggle for owners.

Mark whether you are attending an inspection. Scheduling, calendar events, and travel-time math adapt automatically based on the answer.

  6. 06Apr 20

    Send-as-owner mode for staff.

Staff can send emails and status updates on the owner’s behalf with the right identity routing, signature, and reply-to. Customers see one consistent name on the thread.

02Depth

Built around the appraisal panel, not adjacent to it.

Generic claims-management tools treat an appraisal like a customer-service ticket. AwardLettr models the panel itself. Carrier appraiser, insured appraiser, umpire. Representing party. Award versus panel declaration. Invocation, inspection, negotiation, agreement, distribution. The platform speaks the language because the person building it speaks the language too.

Award letters, panel declarations, and umpire briefs.

Generated from your branded templates. Signed by the right parties in the right order. Distributed to every signer with a 7-day secure download link the moment the file completes.

Representing party drives every workflow.

Carrier-side, insured-side, or umpire. Party fields auto-fill from your profile. Billing recipients, signing order, and email templates adapt to which role you play.

Bill to anyone. TPAs, carriers, attorneys, public adjusters.

Saved invoice recipients reuse across files. Two-phase external invoice numbering syncs cleanly to QuickBooks or Xero through your accounting webhook.

Estimate conversion built for Xactimate.

Carrier estimate PDFs turn into category-matched Xactimate line items through a six-phase pipeline. Corrections feed back into your workspace and into the global catalog.

AI that speaks appraisal.

Dictate bullet points. Get polished, appraiser-vocabulary prose back. The Jaxson AI co-pilot answers procedural questions and drafts award language. Your judgment stays in charge.

03Security

Built like the work matters.

Your appraisal files carry signatures, claim numbers, settlement amounts, and the careers of the people you represent. AwardLettr treats them that way.

Multi-factor authentication required.

TOTP-based MFA enforced on every account. Backup codes stored as bcrypt hashes. There is no opt-out for new accounts.

Row-level security on every table.

Your workspace is segmented from every other firm’s at the Postgres layer, before a single line of application code runs. The database itself enforces the boundary.

OAuth tokens encrypted at rest.

Every Google, Microsoft, Dropbox, and CompanyCam connection token is encrypted with AES-256-GCM before it touches the database. Plain text never lands on disk.

Audit log on every sensitive action.

Document generation, signature events, billing changes, party edits, role changes, and impersonation. Ninety-day retention. Visible to firm admins.

Rate limiting and input validation everywhere.

Forty plus API routes are distributed-rate-limited at the edge. Every input boundary is server-side validated with strict schemas. No naked database writes.

Locked content security policy.

Every allowed origin is enumerated in the CSP header. HSTS with subdomains. Frame-ancestors none. The browser refuses requests the policy did not greenlight.

04Included

Your subscription comes with the whole stack.

AwardLettr is not a thin shell that asks you to bring your own everything. The tools you would otherwise buy separately are bundled into the subscription. One price, one login, one workflow.

  • A provisioned GoHighLevel CRM workspace.
Every AwardLettr subscription comes with a fully synced GHL workspace. Contacts, pipelines, follow-up sequences. The CRM you would otherwise pay for separately is included.
  • E-signatures through SignWell.
Award letters and panel declarations sent for signature inside AwardLettr. Signing order respected. Completed documents written back to your cloud automatically.
  • Branded document generation through Carbone.
Your firm name on every Award Letter, Panel Declaration, OA, invoice, and report. Word-template merge fields you can edit yourself.
  • Cloud storage that follows your work.
Files sync to your Google Drive, OneDrive, or Dropbox. Photos through CompanyCam. Per-claim folders, organized by case, on the platform you already use.
  • Two-way calendar and email integration.
Google Calendar and Microsoft 365, both directions. Booking page busy-time blocking. Confirmation emails through AWS SES with cross-firm conflict detection built in.
  • Automated workflows and notifications.
Tag-triggered webhooks, workflow templates, status-update reminders. The platform does the follow-up so you do not have to remember.

AwardLettr does not replace your estimating tool. Xactimate stays Xactimate. Photos live in CompanyCam. We connect the appraisal workflow across those systems so the case record, documents, billing, signatures, and CRM move on a controlled path.

05Continuity

Your data outlasts any single point of failure.

The fair question every firm asks before signing with founder-led software is, what happens if the founder gets sick, distracted, or hit by a bus. The honest answer: the application keeps running, your data stays portable, and the systems your work depends on are not on a laptop in a back office.

Production infrastructure, not a side project.

AwardLettr runs on Vercel Pro and Supabase Pro. Multi-region. Monitored. The same infrastructure backing operations at hundreds of mid-stage SaaS companies. The application keeps serving requests independent of any single person.

Daily Postgres backups with point-in-time recovery.

Supabase Pro takes automated daily backups. Point-in-time recovery is available on demand. Your data is recoverable to any moment in the last seven days.

Your data exports on your terms.

Full account data export available from settings. Cases, contacts, time entries, documents. Generated as a zip you control, delivered via signed URL. No hostage data.

Every document mirrors to your cloud.

AwardLettr stores every file in encrypted, daily-backed-up storage. Each document also syncs automatically to your Google Drive, OneDrive, or Dropbox, organized by case. Two copies, two backup paths. If you ever leave, your cloud still has every document AwardLettr generated.

Your GHL CRM workspace persists independently.

The CRM bundled with your subscription is a real GoHighLevel workspace under your account. Your contacts and pipeline history persist outside AwardLettr by design.

06Support

Real responses from the person who built it.

The Intercom widget on every page reaches John directly. There is no tier-one ticket queue. There is no chatbot front desk. The person who replies is the person who can ship the fix.

For founder accountability, that is the whole point. The customer flagging the issue and the developer who can fix it are the same conversation. Most weeks, the fix ships before the customer follows up.

About the founder, in two minutes. Read the longer story on the About page.
